How MYR Land Services handles the information you send us

Effective date: October 21, 2026

Who we are. MYR Land Services LLC ("MYR", "we"), 5150 Broadway St #273, San Antonio, TX 78209. Questions about this notice: intake@myrlandservices.com or (210) 709-7200.

Thank you for reaching out to us. Sending the form does not make MYR your landman. We have not reviewed your request yet, and until you have a signed agreement with us, please keep track of any deadlines yourself. Nothing on this page is legal advice.

What we collect

  • About you: your name, email address, phone number and how you prefer to be contacted.
  • About who you act for: whether you are the owner or acting for someone else (an estate, trust, company, other person or family group), and your authority to act.
  • About the property and your request: the owner name on the deed or lease, state, county, survey, abstract and other land description, acreage, what kind of help you want, the decision you face, any deadline, whether you have already signed something or have a lawsuit, demand letter, closing or attorney involved, and the names of any operator, buyer, attorney, co-owner or other party.
  • Whether you know anyone at MYR, so we can check for conflicts.
  • Documents you upload (PDF, JPEG, PNG, HEIC, TIFF or Word files).
  • Your consents (privacy notice, electronic communication, document processing) and your statement that the information is accurate.
  • Bot check: the form uses Cloudflare Turnstile to keep out automated spam. Cloudflare receives information from your browser and your IP address for that check. We pass your IP address to Cloudflare once for the check and do not store it.

Why we collect it

  • To read your request and decide whether we can take it on.
  • To check that we have no conflict with another client.
  • To confirm your email address and send you status messages about your request.
  • To prepare for our first conversation with you. This includes looking up your land description (county, survey, abstract) in public Texas records such as the Railroad Commission and the General Land Office. We search by the land description, not by your name.
  • To keep the service safe: we scan every file for viruses and convert it to a safe format before anyone at MYR opens it.

We do not sell your information, and we do not use it for advertising.

Who receives it

  • MYR's reviewers (Gates Mueller and Chris Yonker) read every request.
  • If we take on your matter, the landman MYR assigns to it (an MYR landman or a contract landman working for MYR) sees that matter's information.
  • Service providers that run our systems for us and handle your information only to provide that service: Zite (the form), Cloudflare (bot check), Railway (our intake server and its storage), Google Workspace (email and our document storage), and, for the matter record and status emails, Supabase (database) and Resend (email delivery). If we take on your matter, we also use QuickBooks Online for invoicing and payment.
  • We may disclose information if the law requires it.

How long we keep it

  • The form service's copy (Zite) is deleted automatically as soon as our own system has safely received your submission, usually within minutes. Zite keeps uploaded files reachable for about two days after that and keeps its own logs for 90 days and its backups for up to 45 days; those then expire on their own.
  • Our intake system's copy is deleted 7 days after your request reaches our matter system.
  • If we do not take on your matter (or you never confirm your email): we delete your documents and our record of the request 1 year after it closes.
  • If we take on your matter: we keep the records and our work 7 years after the matter closes.
  • Names for conflict checks: after deletion we keep only the names of the people and companies involved, so we can still spot a conflict later. We keep no documents or contact details with them.
  • We may keep information longer if a legal hold requires it.

Asking us to delete your information or to see it

Contact intake@myrlandservices.com or call (210) 709-7200. We will tell you what we hold and delete what we can. If we must keep something (for example records of a matter we worked on, or a legal hold), we will tell you what and why. Copies held by our form service in its logs or backups expire on their own (above); if you ask, we will ask Zite to delete them sooner.

How we protect it

Files go to a private quarantine, are scanned for viruses and converted to a safe format before anyone at MYR opens them. Matter documents are kept in a restricted, reviewers-only folder. We never send your documents to public virus-scanning websites. Access to our systems requires two-step sign-in.

Changes. If we change this notice we will update the date above.
